The University of Westminster takes its data protection obligations very seriously.

Access to any personal information collected during your participation in website User Experience (UX) testing and research is limited by permissions to only those authorised staff within the University who need to access and manage your data and follows the General Data Protection Regulation and the Data Protection Act 2018.

Your Personal Data and Legal Basis of Processing

As part of our UX and marketing strategy work, we are inviting participants to help us with several projects, including discussing our website design.

We will ask your consent to participate in UX research for our website design. As part of your participation, we will collect some personal data about you, including contact details, name, age, nationality, country of residence and information about your past or present study/career situation and motivations. If your details are a good match for our areas of interest, we will contact you and invite you to participate in UX research, such as online interviews, card-sorting exercises, tree testing or website usability testing.

Your participation in our UX research is voluntary, and you have the right to withdraw from it at any time if you wish.

Use of Your Personal Data

By consenting to take part in our UX research, authorised staff in the Digital Team will use your information to consider you for inclusion in its UX research, such as online interviews or website usability testing. If you do not hear back from the Digital Team immediately, you may be contacted by the teams in the future. If invited to take part in our UX research, we will contact you to arrange an online interview and usability testing session, the results of which will then be analysed to help improve our website and services. We will also use your data to create aggregated analysis and reports for our internal use.

Special Category Data

In most circumstances the Digital Team does not require or expect to gather any special category sensitive personal data in relation to your participation in website UX research.

Data Sharing and Transfers

Your personal and contact information will not be shared outside of the authorised staff in the Digital Team unless other colleagues would find your input especially of value, for example our Admissions, Marketing or International Teams. None of your data will be shared with any third-party and will be only stored on authorised University devices and infrastructure.

Data Retention

Personal information and audio recordings will be retained for 12 months from the date of the interview and then deleted. Notes will be retained for 36 months from the date of the interview and then deleted.
