Confidentiality

The University of Westminster takes its data protection obligations very seriously. Access to any personal information you give us when participating in the Prospects Say survey March 2021 is subject to a staff confidentiality agreement.

Access to your personal information is limited by permissions to only those staff in the CRM Team who need access to create and disseminate aggregate reports based on your survey feedback. No individuals will be recognisable in any aggregate data that is shared more widely with University colleagues.

Your personal data

The Prospects Say survey will gather your responses to survey questions against a unique identifier created when you submitted your details via the your.westminster.ac.uk enquiry service. We will then view survey responses against other metrics such as open day attendance, source of origin and subject of interest.

Use of personal data and legal basis of processing

The information you give the University as a participant in the Prospects Say survey will help us to improve our customer service processes and our online experience for future students interested in studying at the University of Westminster.

We will create aggregated and anonymous reports for sharing with University colleagues for only these purposes, where no individual will be recognisable.

The legal basis for the University to process your personal data in this way is your consent to participate in the survey.

Data retention

Your individual responses to the survey will only be retained whilst the aggregate reports are created. This is likely to be until May 2021.

The reports themselves may be held for a longer period for business purposes as we use the findings to improve our service to future students.

Data transfers and sharing

The University CRM Team will not share your personal information with anyone else and as mentioned, will only share aggregate anonymous reports, where no individual can be recognised, with colleagues.
