The University of Westminster takes its data protection obligations very seriously. All University staff receive compulsory data protection training.

Access to any personal information you give us when participating in any of our careers or vacancy management services is subject to a staff confidentiality agreement. Access to your personal information is limited by permissions to only those staff who need access to deliver our services to you. See Use of personal data below for more details.

Your personal data

Students at the University can access our careers and vacancy management services as part of their access to systems and services provided for at enrolment.

Registration on our careers system will enable students to access and participate in several careers activities that can include:

  • Careers and networking events
  • Careers one-to-one advice
  • Careers resources covering example CV’s and interview preparation
  • Information about job listings, placements, and volunteering
  • Mentoring
  • Find useful links and online tools to help kickstart your entrepreneurship or enterprise journey and find out about working freelance, starting a small business or developing entrepreneurial skills

Participating in these activities will involve your registration with the careers service and in some cases specific collection of additional personal data. Depending on the event or resources you choose to attend or use, your personal data may be collected by third parties and subject to their privacy policies. Specific events could include recording and wider sharing. More detail will be made available for any specific resource or event at the time.

Your data will enable communications with you and your participation in the activities you choose, which may involve appointments and the recording of subsequent personal information and notes related to our careers and vacancy services.

If you are a member of the teaching staff of the University of Westminster, you may have access to the system to facilitate assisting students and demonstrating system functions.

Staff from participating external organisations will be asked to provide contact information as part of their organisation’s registration process.

In your use of our services, you may give us personal information that is sensitive (also known as ‘special category personal data’). We will only use and share any sensitive data you give us with your consent or where otherwise allowed by law. Please see below.

Use of your personal data

The personal information you give the University as a participant in any of our Career services will be only used to manage and deliver those services to you.

The legal basis for this processing will be your registration with the service and where required, regarding special category personal data, your explicit consent.

Additionally, the service will create aggregated and anonymous reports for describing, measuring, auditing, and improving the service. This information is likely to be shared with internal colleagues and with external partners for only these purposes, where no individual will be identifiable.

Data retention

Your personal data given to the University will be held by us for 6 years from the end of your contact with the service. After that date, your personal information will be securely deleted from all systems and storage.

Aggregate and anonymised reports may be kept for longer until they are no longer required by the University.

If at any time you would like to withdraw consent for the University to hold and process your sensitive personal data relating to Careers and Vacancy Management please contact .

Data transfers and sharing

None of your personal information is shared by the University with any other third party organisation, other than where this has been consented to by you where otherwise allowed by UK law.
