Confidentiality

The University of Westminster takes its data protection obligations very seriously. Access to any personal information you give us when making an application to study on a short course programme with the University is subject to a staff confidentiality agreement. Access to and use of your personal information is limited in any specific circumstance to only those staff and administrators who need that access to manage and deliver your short course application and study. Encrypted emails will be used to send or transfer personal data.

This privacy notice explains what we do with your personal information you give us to study on a short course and how we protect it and enable your rights.

Personal data

When you apply to undertake a short course at the University we will require you to declare your personal details, including contact details, and give us evidence of your identity and eligibility to undertake the course.

As part of our application process, we will give you the opportunity to tell us about any health or disability issues that you feel would be useful for the University to know and possibly consider as part of your application. When we do so, we will capture your consent to process this information.

Use of your personal data

We will use the information you give us to assure your eligibility for your short course application, contact you during this process and record your application status and gather any required documents, process payment and, if required, put you in contact with our Disabilities Team.

We will use your personal data to enable your access to our buildings and for short course reporting and internal and external auditing purposes.

We may use your information for wider reporting, but when we do, we will aggregate it for statistical purposes and no individual will be identifiable.

Legal basis for processing and retention

When you give your personal information to the University we are processing it to enable you to enroll onto a short course programme and enter into an agreement with the University. Any processing of your health information will only be done with your consent.

Your personal data will generally be retained for six years following the end of your study relationship with the University.

Profiling and automated decision making

The University does not undertake any profiling or automated decision making in relation to applications for short courses.

Data transfers and sharing

Some short course applications, where the application to attend are sponsored and managed by a partner organisation, will allow representatives of the partner organisation to see, update and edit your personal data. This only applies to specific third-party organisations and you should be aware when this facility affects you.

If you choose to declare a health or disability issue as part of your short course application, you will be asked to share that information with our Disabilities Team.

Other than where stated above, none of your personal information is shared by the University with any other third-party organisation other than when allowed by UK law.

Where services involve a third party processing your information, such services will be covered by a contract, and details of the services and the legal mechanism for any data transfers outside the EU and EEA can be requested.
