How to register

Completing the My Graduation Ceremony Task

When you receive the invitation email to attend your ceremony, you need to complete the booking task – even if you do not wish to attend.

You'll be asked to complete the 'My Graduation Ceremony' task.

To guarantee your place, make sure you reply by the deadline date given in your invitation email.

You won't be able to book until you receive the invitation email.

You will receive an email in the week prior to the ceremony and must bring this with you to complete your registration at the venue

If you need to reset your password, log in to our password self-service and follow the instructions. Password reset links will be sent to the personal email address you provided when joining the University.

If you experience any issues, log a call with the Service Desk or call them on +44 (0)20 7915 5488

Guest tickets

Guest tickets are purchased through the Southbank Centre, using a link that we will share with you via email closer to the event. Tickets cost £27 per person. We also have a small number of boxes available for up to four guests, which are priced at £140.

Guest tickets for children aged 5–12 are free, however all children aged 5–12 must have a guest ticket or they will not be allowed access to the auditorium. These tickets are included in your overall ticket allocation.

All children under the age of 5 do not require a ticket and are not included in your ticket allocation. They will need to sit on the lap of a ticketed guest as they will not be allocated a seat in the auditorium.

Guests under the age of 17 are welcome to attend graduation if they are always accompanied by an adult, other than the graduate.

Graduations are formal occasions and can feel quite long for very young children. Childcare facilities are not available at the venue.

The number of tickets available for purchase will be confirmed in your invitation email. We advise booking these online as soon as they are available.

Guest tickets are non-refundable so please check the number you have requested carefully before making payment.

Please ensure that you circulate the tickets with your guests prior to the ceremony to guarantee entry.

Gown hire

Wearing an academic gown is advised for all our graduands but is not compulsory. We recommend that you order your gown no less than two weeks before your ceremony.

Ede & Ravenscroft Go to the Gown Hire website are our approved supplier. If gowns are ordered through Ede & Ravenscroft, they will be available for collection from the ceremony venue on the day of your graduation.

For more information about collecting your gown, see our On the day information

The cost of hiring your gown will depend on your level of award, the costs listed below are for guidance only and may vary.

  • Undergraduate - £45
  • Postgraduate - £51
  • Research - £58

You should be aware that if you fail to order your gown by the closing deadline you will need to arrange hire on the day of your ceremony at the venue. This will cost significantly more and Ede and Ravenscroft cannot guarantee that they will have the correct size and gown for you.

If you have any queries once you have hired your gown, you can contact Ede and RavenscroftGo to the Ede and Ravenscroft website.

Please note that the University has entered into a concession contract with Ede & RavenscroftGo to the Ede and Ravenscroft website and receives commission from the hire and sale of academic dress, which is used to offset some of the costs of graduation.

Ede and Ravenscroft will be present at the venue on the day of your ceremony for the collection of academic dress, and for ‘on the day’ hire if you have not ordered in advance of the deadline.

If you prefer, you can hire your academic dress with a third party supplier, however, please note that not all third party suppliers may be able to supply the correct academic dress which corresponds with your award at the University of Westminster, and no third party suppliers will be present at the venue on the day of your ceremony.

There is no dress code for your guests, but as the ceremony is a formal occasion, we would recommend all guests wear smart attire.

Data protection

All graduates attending the ceremony should be aware of the following:

Please see the University of Westminster’s Student Data Privacy statement for more information about how we handle your student data. In accordance with the Data Protection Act 2018, we can only discuss your graduation attendance with the you and no one else, unless you give us written permission to do so.

Your contact details for graduation will be taken from the Student Records System. We may need to share some of that data with our partners who help us to deliver graduation, and with the University’s Alumni team. You can opt out of this during the online booking process. In line with the Data Protection Act 2018, we only share the details needed to complete the necessary work and your details will not be passed on to any other third parties.

When you complete your online registration, you will be given the opportunity to inform us if you do not wish for your name to be included in the programme or merchandise. The deadline for this will be available in our communications and on the My Graduation Ceremony task.

Please refer to our Graduation Terms and Conditions for further information.

Children

We understand that your ceremony is a family celebration and children are welcome to attend. However, the ceremonies are formal occasions and therefore may not be appropriate for young children.

If you would like to bring children to your ceremony, please note:

  • Children and young adults (up to the age of 17) are welcome to attend graduation if they are always accompanied by an adult, other than the graduate.
  • Graduations are formal occasions and can feel quite long for very young children. Childcare facilities are not available at the venue.
